Administrative Support Coordinator II
Housing and Residence Life 

Salary Range: $3,352 - $5,639/Monthly

Work Schedule: Full-Time, Monday – Friday, 8:00 a.m. to 5:00 p.m.; temporary, expires on or before one year from start date; may be extended; may become permanent; non-exempt classification.

Essential FunctionsThis position holds general administrative assistant responsibilities in direct support of the Director for Housing and Residence Life and interacts regularly with each of the units reporting to the Director which include: Residence Life, Business Operations and Facilities. This position provides critical administrative support and coordination of daily office operations, is very customer service oriented, with duties specifically related to assuring the efficiency, effectiveness and overall success of the Housing and Residence Life operations and programs. In addition, the incumbent must understand and interpret relevant University policies to make recommendations related to issues that may have a broad impact across the department. Compiles data and information to be used in support of program initiatives and contracting. Typically provides critical start-up support for new programs and initiatives within Housing and Residence Life. The incumbent will recommend, plan, and implement operating procedures and policies for all units within Housing and Residence Life. Administrative functions include calendar management; logistical planning for meetings, programs, and special projects; recording and transcribing minutes for departmental meetings; coordinating services for various program initiatives. In consultation with the Director, the incumbent will coordinate projects such as Fall and Spring Orientation, parent communications, athletics and intramurals, leadership conference and joint academic and student life efforts.

Required Qualifications & Experience: Equivalent to four years of general office experience, which included providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. The incumbent must have comprehensive and detailed knowledge of the university infrastructure, policies, and procedures as well as
thorough mastery of English grammar, punctuation, and spelling. The incumbent must demonstrate competence in Microsoft Office software. The incumbent must also have the ability to independently compose documents, letters, announcements, etc.; efficiently multi-task; deal with conflicting priorities and have effective time management skills; understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas; analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; perform business math, analyze budgetary data, and make accurate projections requiring some inference; effectively write and present own reports; effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations; use negotiation and persuasion skills to achieve results and expedite projects; interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist; troubleshoot most office administration problems and respond to all inquiries and requests related to work area. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment.
