Administrative Support Coordinator I
Environmental Health & Safety 

Salary Range: $3,276 - $5,148/Monthly

Work Schedule: Full-Time, Monday – Friday, 8:00 a.m. to 5:00 p.m.; non-exempt classification.

Essential Functions: Under the general supervision of the Director, Risk Management and Environmental, Health & Safety (RMEHS), the incumbent will be responsible to support the RMEHS director and staff. Duties include tracking, monitoring, and coordinating department activities, programs or events, processing food permit requests, and will assist the Director in recruiting and hiring employees and student workers. The incumbent will process purchase orders, incoming bills, and compile and prepare .various reports, using technology and internal finance and purchasing applications. Knowledge and experience using Microsoft Office Suite, Microsoft 365, desktop publishing, spreadsheets, and databases to produce results. The incumbent will also be responsible for performing standard clerical and administrative work. This includes processing standard and electronic mail, preparing and composing correspondence, reports, and other documents. The coordinator will create and maintain standard and electronic records, files, and recordkeeping systems. The coordinator will arrange meetings and events, make travel and other arrangements; order and maintain office supplies, troubleshoot office equipment problems, and perform other general office support and maintenance activities as directed or needed.

Required Qualifications & Experience: Equivalent to three years of general office administrative experience, which includes providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative functions. The incumbent will have mastery of English grammar, punctuation, and spelling. Expertise is needed in using office software packages, technology, and systems to advance department functions. The incumbent will interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist. The incumbent must have the ability to troubleshoot most office administration problems and respond to all inquiries and requests related to the department is needed on a daily basis; understand problems from a broader perspective and anticipate the impact of office administration problems and solutions in areas of RMEHS; analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions is essential; perform business math, analyze budgetary data, and make accurate projections requiring some interpretation, and effectively write and present own reports; and effectively handle interpersonal interactions at all levels and handling highly sensitive interpersonal situations as needed with the ability to use negotiation and persuasion skills to achieve results and expedite projects.

 

The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment.
