Salary Range: $3,120 - $4,592/Monthly (Anticipated hiring range is $3,120-$3,520 per month)

 

Work Schedule: Full-Time; Monday 8.00 a.m. to Friday 5.00 p.m.; non-exempt classification. Temporary one-year appointment; may be extended; may become permanent.

 

Essential Functions: Under general supervision of the Department Chair, the incumbent accomplishes independent projects for the department. The incumbent will: serve as the first point of contact for the Department by providing information and assistance to all prospective and current students and visitors to the office with a student-centered approach; compile & prepare textbook requisitions; input textbook adoption on the Adoption & Insights Portal; order desk copies of books from different publishing companies; prepare and submit key requests for faculty, part-time faculty, staff, students, and visiting scholars; compile and distribute information on office hours of faculty and part-time faculty; reserve parking for off-campus guests; distribute incoming mail and reprographics packages; assist the ASC II with different aspects of the class schedule; update internal copies of Dept. Directory & lecturer directory; assist students in filling out forms required for the Chair's signature; help coordinate department functions and receptions; assist the ASC II and Department Chair in other tasks, as necessary; independently answer or direct an inquiries, requests, or concerns from students, staff, or faculty; allocate use of special purpose rooms; issue permits for undergraduate and graduate classes; assist the Faculty Search Chair in maintaining applicant files, communicating with applicants, and scheduling interviews; assist with hiring paperwork duties; fill out, revise, and process ETF's of lecturers, teaching assistants, and graduate assistants; collect paperwork for hiring including assisting with I-9 clearance and forms; assist with assigning graduate assistants their work schedule; answer inquiries by graduate students; maintain files of all graduate students; answer questions regarding the M.S. application process; email and call applicants regarding missing paperwork; assist the graduate advisor in preparing and filing forms; update the website under the direction of the Chair on a weekly basis; and perform other duties as assigned.

Required Qualifications & Experience: Equivalent to two years of general office experience, which includes providing work direction or acting as a lead. The incumbent must have: 1) knowledge of office methods, procedures, and practices; 2) knowledge of English, grammar, punctuation, and spelling; 3) excellent oral and written communication skills. The incumbent must be self-motivated with the ability to: a) work independently; b) learn, interpret, and apply policies and procedures to help students and faculty; c) use computer technology to access data, maintain records, generate reports, and communicate with others; d) interact in a supportive manner with faculty, staff, students, and members of the public; and e) have an interest and ability to work in a multicultural/multiethnic environment. Working knowledge of MS Word and Excel software programs is essential.
