Administrative Support Coordinator I
VP of student Affairs

Salary Range: $3,276 - $5,148/Monthly

 

Work Schedule: Full-Time; Monday to Friday 8.00 a.m. to 5.00 p.m.; non-exempt.

 

Essential Functions: Under general supervision, the administrative assistant will assist the Associate Vice President of Student Life as well as support the Office of the Vice President for Student Life in the day-to-day operation and administration of the office. The incumbent will: develop agendas and takes minutes for assigned meetings; provide the Associate Vice President with essential support in the coordination, implementation, and evaluation of specialized projects; use critical thinking, reasoning, and prioritization to address a wide range of unique problems and interactions with university students, faculty, staff, and external constituents; gather and analyze data to determine impact on student retention and graduation; compile and analyze financial data to identify how resources are distributed to inform discussions on future allocations; access financial data for several equity programs, providing reports and identifying issues that may have budgetary impacts; create and maintain databases, confirm attendance for events, and generate reports as needed; reserve event venues and request catering orders as needed; draft and review a wide variety of documents, including, but not limited to, correspondence, reports, flyers, and brochures; compose general correspondence and draft text that may be used to update and enhance websites and other promotional materials; assist with reviewing and coordinating documents and forms submitted by departments in the Division of Student Life that have budgetary and fiscal impacts; process standard and electronic mail; prepare and compose correspondences, reports, and other documents; create and maintain paper and electronic records and files; arrange meetings and events; order and maintain office supplies; troubleshoot office problems; perform administrative duties in support include responding to and directing student inquiries, screening students with complaints or problems, and may personally handle such incidents based on working knowledge of Divisional policies and procedures or refer them to the appropriate Divisional staff member; and provide clerical support to other senior administrative office staff as needed.

Required Qualifications & Experience: Equivalent to three years of general office experience, which includes providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. Thorough knowledge of office methods, procedures, and practices. Fluency in using standard office software packages such as Microsoft Office Suite. Thorough knowledge of English grammar, punctuation, and spelling. Comprehensive knowledge of applicable university infrastructure, policies, and procedures. Ability to: learn, interpret independently, and apply a variety of complex policies and procedure; independently handle multiple work unit priorities and projects; and perform standard arithmetic functions of transactional nature, including tracking and comparing data. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Demonstrated ability to effectively handle a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

Preferred Qualifications & Experience: A bachelor’s degree from an accredited institution and experience with delivering student services in a university setting.
