ADMINISTRATIVE SUPPORT COORDINATOR I
Academic Senate

Salary Range: $3505- $5508/Monthly

Work Schedule: Full-Time, Monday – Thursday, 8:00 a.m. to 5:30 p.m., Friday, 8:00 a.m.-12:00 p.m.; Temporary appointment expires on or before one-year from date of hire, may be extended, may become permanent; non-exempt classification.

Essential Functions: Under the general direction of the Administrative Analyst/Specialist, the Administrative Support Coordinator I is responsible for handling the full range of the daily general office operations. The incumbent will: maintain a web page for the minutes of the Academic Senate and its standing committees/subcommittees; maintain the Academic Senate public folder; set-up and send out electronic ballots for the University-wide Senate elections; monitor, revise and be independently responsible for databases and email distribution lists established for campus consultation. Serves as Recording Secretary and provides support for the Nominations Committee independently maintaining the agendas, minutes, documents, and correspondence. Responsible for maintaining the database for the Survey of Faculty Interest used by the committee in making appointments and researching background information on committee appointments working directly with the Chair of the Nominations Committee for these responsibilities. Provides support for the Outstanding Professor Awards (OPA) Committee maintaining confidentiality of selected recipients; independently works with outside vendor for awards; and coordinates with on-campus personnel for faculty files, recognition, events, and distribution of awards. Independently prepares travel requisitions and monitors travel expense claim forms for the Chair of the Academic Senate, the Academic Senate Statewide Senators, and guests invited to the campus by the Academic Senate. Makes travel arrangements, including reservations, when necessary. Responds to inquiries from faculty, staff, and students based on a comprehensive knowledge of Academic Senate policies and procedures including the identification of appropriate policies and procedures.

 

Required Qualifications & Experience: Equivalent to three years of full-time general office experience. Knowledge of Microsoft Office, Outlook, Adobe Acrobat, Zoom and/or Microsoft Teams, DocuSign, OneDrive. Detail oriented; strong writing and oral communication skills; and strong reading comprehension skills. Ability to: maintain a web page for the minutes of the Academic Senate; maintain the Academic Senate public folder; set-up and send out electronic ballots; and monitor, revise and be responsible for databases and email distribution lists. Demonstrated interest and ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who may apply for the position.
