Classification Salary Range: $3,505 - $5,159 per month 

The anticipated hiring range for this position is $3,505 - $3,610 per month.

The final salary is dependent upon qualifications and experience.

About the Department/Position:

Under the general direction of the AVP, Facilities Management and Operations, the Facilities Services Office Assistant will provide general office and administrative support including customer service, receptionist duties, backup work control coverage duties, and backup for department payroll, human resources document processing, and timekeeping duties. The Facilities Services Office Assistant works directly with the Facilities Services Coordinator to ensure the office can respond to any demand received by Facilities Services promptly and to ensure that the maintenance of the University can operate in an efficient and orderly fashion.

 Overview of Duties and Responsibilities:

  • Provide excellent customer service, answer telephones, create and maintain emails, word documents, and spreadsheets, make photocopies, scans, and files, make travel arrangements and process travel requisitions, greet, and screen visitors, open, sort, and distribute mail.
  • Serve as the primary backup to the Facilities Services Coordinator, and provide support with payroll, purchase orders, invoices, spreadsheets, and data entry.

Minimum Qualifications:

  • High school program or its equivalent and two years experience in an office environment. 

Knowledge, Skills, and Abilities:

  • Adequate experience to be fully functional in all technical aspects of office clerical work
  • Thorough knowledge of office methods, procedures, and practices.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
  • Work often involves front-line contacts with a variety of campus and community individuals requiring active problem-solving and effective interpersonal skills.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
  • Able to operate a personal computer with knowledge of basic Windows programs - Excel and Word; experience with using e-mail programs and the Internet;
  • Ability to independently handle multiple work unit priorities and projects;

Preferred Qualifications:

  • Equivalent to graduation from an accredited four-year college or university with a Bachelor's degree in a job-related field.
  • Job-related experience demonstrating a commitment to equity, diversity, and inclusion is a plus.
  • Experience in a collective bargaining environment in a university setting is desired.
  • Three years of related office work experience.
  • Payroll, accounts receivable, and automated work order system experience.
