Administrative Support Assistant II
RESPONSIBILITIES & DUTIES:
Performs a variety of office/administrative functions for the area and staff of Residential Education (RE). Typical duties include serving as a frontline contact for students and the general public, maintaining accurate and thorough office records, and coordinating and prioritizing a variety of work projects through their completion. Responsible for the day to-day oversight of over 30 student assistants that staff the front desks of Anacapa Village (AV), Santa Cruz Village (SCV), Santa Rosa (SRV), and Town Center (TC). Front desk administrative duties include form processing, management of office inventory, assistance with RE purchasing, oversight of mail processes, flier approval and posting, updating RE signage, and mailbox key distribution. Provides customer service to residential students and visitors, including responding to questions and concerns. Provides direct, day-to-day oversight of RE Desk Assistants, including selection, hiring, training, and scheduling. Provides direct administrative support to the Residential Education staff including assistance with preparing student assistant requisitions and hiring paperwork, purchasing documents, arranging and completing paperwork related to travel, and assisting with budget record keeping. Maintains confidential housing conduct records, creates and sends notices to students, assists with scheduling meetings, assigns conduct cases to the appropriate RE staff member according to Housing & Residential Education (HRE) guidelines, and provides general administrative support for the housing conduct process. Provides data entry support for the assessment of educational programming and events sponsored by RE. Provides administrative support to the Senior Director of Residential Education with scheduling and general administrative tasks. Prepares reports related to conduct statistics, assessment, front desk visitation and usage, and events and activities attendance. Provides administrative support on an as-needed basis to other areas within HRE and the Division of Student Affairs. Assists RE staff during the Resident Assistant selection and training process, including creating and distributing flyers, maintaining candidate files and database, assisting with coordination of training activities, reserving space, securing needed resources, and communicating information to candidates and staff. Assists with Clery reporting of HRE incidents to the CSUCI Clery Director. May assist with updating HRE social media outlets with approved information related to events, activities, and general housing information. Participates actively as a member of RE providing input and completing projects as assigned. Performs additional related duties as assigned.
REQUIREMENTS OF POSITION:
Education: Bachelor’s degree in Business Administration, Marketing, Communication, or a related field preferred.
Experience: Prior student employee oversight experience and demonstrated experience providing excellent customer service required. Preferred work experiences include working with or on a Residential Life/Residential Education staff and experience or understanding of the university environment with student conduct adjudication or documentation. Ability to provide effective direction and support to student staff. Must be proficient and professional while working in a fast-paced environment.
Other Knowledge/Skills: Knowledge of and proficiency in English grammar, punctuation and spelling required. A thorough knowledge of office systems and experience with modern office technology (i.e. MS Suite, MS Teams, Adobe Suite, etc.) and the ability to accurately perform data maintenance is required. Must be able to interpret and apply policies and procedures independently and interdependently and use judgment and discretion to act or refer when precedents do not exist. Must be able to communicate effectively with a diverse population of students, faculty, staff, and the community and function as a contributing member of the Division of Student Affairs. Must be able to take initiative in the performance of a variety of tasks and have the ability to independently handle multiple priorities and projects. Equipment used in the performance of this assignment includes a computer with MS windows operating system, printers, copy machines, artistic tools, and recreation equipment.
A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. The person holding this position is considered a ‘Campus Security Authority (CSA)’ to report crimes for the federally mandated Clery Act and is required to comply with the requirements set forth in CSU Executive Order 1107 revised March 24, 2017 as a condition of employment.
The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
Hiring Salary: $3680 per month
