Work Schedule: Full-Time, Monday - Thursday 9:00 a.m. to 6:00 p.m., Friday, 8:00 a.m. to 5:00 p.m. non-exempt classification.


Essential Functions: Under the general supervision of the Department Chair, the Administrative Support Assistant will provide general office, clerical, and secretarial support for students, faculty, and staff. The full range of work activities includes: maintaining files and records; assisting undergraduate and graduate students by responding to requests for information and applications for the undergraduate and graduate programs; scheduling and arranging appointments; processing of documents and records; gathering data; obtaining and keeping track of office hours and the Department office hours chart; book orders, office space, keys, and paychecks for department employees; and preparing standard reports. The incumbent will hold primary responsibility for coordinating the departmental MA and MP A programs; answering student questions and preparing associated paperwork; assisting with graduation checks; and maintaining permit lists for restricted courses. In addition, the incumbent will assist the Department Coordinator in the performance of general departmental administrative duties when the Department Coordinator may be involved in peak-load projects and needs assistance.

Required Qualifications & Experience:  Two years of general office experience, including providing work direction or acting as a lead. Incumbent must possess general working knowledge of applicable university infrastructure, policies, and procedures and thorough knowledge of: office methods, procedures, and practices; support technology and systems including Microsoft Office; maintenance of PC­based databases; and English grammar, punctuation, and spelling with excellent oral and written communication skills. Ability to: learn, interpret independently, and apply a variety of complex policies and procedures; identify deviations from applicable policies; recognize multicultural value systems and work accordingly; use computer technology to access data, maintain records, generate reports and communicate with others; and interact in a supportive manner with varying levels of staff, students, and members of the general public from diverse backgrounds. Incumbent must be self-motivated and able to work independently. Demonstrated interest and ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.
